Hiring an exhibition area

When you log in the registration system, you first have to register for the congress and then you can order an area for your stand in the congress menu – Company registration. State the total number of square meters.  
Then, use the “Questionnaire for Exhibitors” to specify the type of stand you are interested in (cubicle system incl. the standard equipment or your own construction, etc.) and the stand ground plan.

The company expositions will again be located in hall A1 and the area divisions will start in mid-March 2011; therefore, send your orders as soon as possible to get included in the first round of dividing. When dividing, several factors will be taken in consideration – placing of the stands in the previous years, the time of registration and the extent of the company sponsorship for the congress. We would like to keep the same positions of the company stands as in the previous years because the congress participants like to find stands at the same places; also the date of the registrations plays a certain role and also the extent of the sponsorship – the general and the main sponsors are the only ones entitled to choose the exhibition place, the other exhibitors are allotted a space in correspondence with the above-mentioned rules.

Company registration finishes on April 15, 2011; this is also the last day of all passive participation registration (individual, group).

The installation will be finished on May 1, 2011 at 5 p.m. Then the exhibition hall and the stands will be tidied up and closed for congress participants (except Exhibitors – blue and white name tag) until the end of the Ceremonial Opening in Rotunda (about 8 p.m.). When the Opening Presentation finishes, there will be an opening of expositions connected with a welcome cocktail among exhibiting companies. During the cocktail, the A1 hall gallery will be closed and the participants will move around the stands only.

The disassembly will start on Wednesday May 4, 2011, 12,30 (when the congress program finishes) and finish at midnight.
The companies working on the exposition installation and disassembly will be able to enter freely during the installation work. The free entrance tickets for installing companies will be sent to the exhibitors before the congress by post.
It is possible to buy a free entrance ticket into the area for the entire time of the congress (650 Czk incl. VAT) or for one day (300 Czk incl. VAT). The order is included in the online company registration and the tickets will be collectible at the registration spot or they can be sent by post in advance.

After the acceptance of the company registration (area order), you will obtain ORGANIZATIONAL INSTRUCTIONS FOR INSTALLATION, PROCEDURE AND DISASSEMBLY from the organizational secretariat. Please, pay proper attention to the instructions. Please hand the instructions to the installing company you will be using unless you use a standard cubicle which is provided by the CSC. 

INSTALLATION IN ADVANCE – the official installation will be launched, and therefore free of charge, on April 29, 2011. The companies who request installation in advance have to ask the Výstaviště Brno directly and they should be aware that the installation in advance is charged 60,000 Czk/day. The CSC will not take any share in the costs for installation in advance. The same applies for the disassembly.

If you decide not to use the standard equipment, the price does not change. The power source up to 2 kW is included in the price for the area also for the companies who are going to make their own expositions.

The ordering form for other services or stand equipment (beyond the standard) is available at the congress web pages. The payment for these services or the equipment will go directly to EXPOSALE.

During the entire congress there will be an EXPOSALE stand in the area of hall A1; there it will be possible to make further orders.

Area dividing (placement of expositions) will be carried out at the beginning of March (in dependence on the received Questionnaires).


Company symposium

It is possible to order a company symposium online until January 10, 2011; it is necessary to enter at least the length of the symposium and its preferred location until this date; the names of chairpersons and titles of presentations (including the names of authors) can be entered until January 31, 2011. Please meet these deadlines.

When ordering a symposium (online /Company registration), you will state your time and location preferences for the symposium; you will be informed on the definite location and time after the active participation registration is finished on January 10, 2011.

It is necessary to meet the time schedule for presentations of individual companies. When the set limit runs out, the symposium will be closed. When discussing the symposium with the presenters and the chairpersons, please consider the possibility your symposium could collide with another one. The final placement of your symposium in the program will be determined by the Program Committee whose chairperson is prof. MUDr. Aleš Linhart, DrSc.,  in dependence on the amount of sponsoring activities of the company, the date of the registration and after the coordination of all participating presenters and chairpersons. The information on the final placement of the symposium will be sent during March 2011.

Advertising in the Congress News

If you are interested in advertising in the Congress News, please contact Dr. Martin Doležal, Target-MD s.r.o., tel: 777 948 118, e-mail: martin.dolezal@target-md.com. The price for advertisements depends on the size of the advertisement and the frequency of its publishing – the Congress News will be issued each day of the congress, i.e. 4 times, and will be distributed to all participants each morning.


Outside promotion

You can order the outside promotion through the online system; an OCTANORM billboard, 2x2 m, will be available. More detailed instructions on the size and graphics will be sent after the order. The billboards will be located along the road between halls A and E.


Other orders

Group registration
You can register not only the invited doctors (through the Group registration in the online system), but it is also necessary to register all company representatives who are going to participate in the congress. Nobody will be allowed in congress areas without a name tag. The staff who will be at the stand and will not visit the professional program will be classified as "Exhibitor – partial registration", charged with 300 Czk. This category also includes two vouchers for lunch packets and allows the holder to enter hall A1 (exhibition). The others are to be registered as "Exhibitor" charged with 1400/1600 Czk.

In dependence of the order of the exhibition area, we are granting exhibitor registration free of charge, as follows:
Up to 10 m2   ……….     2 registrations free of charge
11 – 15  m2   ……..     4 registrations free of charge
16 – 20 m2    ……..     6 registrations free of charge
21 – 25 m2    ……..     8 registrations free of charge
26 – 30 m2    ……..   10 registrations free of charge
31 – 40 m2    ……..   12 registrations free of charge
41 – 50 m2    ……..   14 registrations free of charge  
Each 10 m2 mean 2 more registrations free of charge.

When entering the registrations in the online system, the discount will only be calculated after the end, so do not pay any attention to the fact you are selecting a paid registration.

If you are interested in lunch vouchers, you can order them at the web page, the price of one voucher is 80 Czk.

The colour of name tags for exhibitors will be blue; only exhibitors and exhibitors - partial registration (blue and white name tags) will be permitted in exhibition hall A1 before the Ceremonial Opening on May 1. 

Tickets for the Gala Evening
You can order the tickets through the online system, and the order can be changed either the capacity is exhausted (if you wish to increase your order) or until the registration is finished (April 15, 2011). If you are not going to make any changes any more, inform the organization secretariat, you will be issued an advance invoice.

Accommodation
The web pages include electronic forms for individual hotels; your order will be sent directly to the hotel reception which will confirm your reservation.
